Prior to Running Check-In
Licensing a Check-in Station
Each check-in station will need to be individually licensed before you can begin using it for check-in. If you haven’t already assigned a license, KidCheck will prompt you to do so before you can proceed with check-in. Our unique licensing process allows you to move a license from one computer to another easily. Once you assign a license to a computer you will not need to do it again unless you remove the license.
Note: You only need to license computers on which you will be doing check in. You do not need to license computers for running reports, or accessing any of the administrator functions in KidCheck.

KidCheck Station Installer
To secure your check-in station from unauthorized use and tampering with the computer, KidCheck recommends downloading and installing the KidCheck Station Installer. This can be found at www.kidcheck.com/support. Once this is installed on your check-in station it will create a short cut on your desktop that launches KidCheck in “kiosk mode”, disabling browser navigation and the ability to access other websites or applications.
To exit kiosk mode, you must have an administrator login or use the key combination “ALT+F4” twice. Using the key combination will completely exit the program preventing unauthorized access to KidCheck.

Check-in
Starting a Check-In Session
Select the “Check-in” Tab in the top menu bar.
Select “Check-in Templates” Tab in the window. In this section you will see a list of the check in templates that you created earlier. To start a check-in session, simply select the “Start Check-in” button relative to the template you want to use.
The screen will now go into Check-in mode.
Entering in an ID
Persons checking in children must have a KidCheck account and they can use any 10 digit phone number associated with that account to access their check-in information. If the phone number is associated with multiple accounts, the guardian will be asked to identify themselves from a list of possible matches. If they have not setup an account they will need to do so through the “I don’t have a KidCheck Account” link. Persons can also check-in by scanning their keytag if they have one assigned to their account and the facility has barcode scanners available for guardians to use at check-in.
Childcare Provider EULA
If a parent is checking in children to a facility for the first time they may be asked to agree to your custom EULA before proceeding. If you did not select a custom EULA in your settings, then this page will be bypassed.
Once this is entered, they will be taken to the check in screen where they can select which kids they are checking in, the locations that the kids will be, and complete the check-in process.
Registering a Keytag
KidCheck provides an initial supply of bar-coded key tags for all childcare providers using KidCheck. While the use of keytags is not required, we highly encourage organizations to assign key tags as it significantly speeds up the check-in process.
To register a key tag to a parent, have them first use a 10 digit phone number to pull up their check in account. Next to the primary guardian information there will be a field to “Register a new Key Tag Barcode ID”. Place the cursor in that feild and scan the key tag you wish to register. KidCheck will let you know if the keytag has been successfully registered and then from that point forward, guardians may use this key tag as their ID at any KidCheck location.
To replace a lost or damaged keytag, simply scan in a new one. The previous keytag will no longer be valid. Only one keytag may be assigned to a primary guardian.
Organizations may create and register their own keytags if they wish. KidCheck uses code 128. If you choose to create your own keytags please contact us first to ensure that your organizations barcodes are unique.
Checking in Volunteers
If the person checking in is an administrator or an employee / volunteer for your organization, they will have an additional option to check in as staff personnel. Volunteer check in records are reflected in the child/personnel ratio reports and employee time card reports. This option only appears for those who have Administrative or Employee/Volunteer permissions. General guardians do not have the option to check in as a volunteer.
To give someone permissions go to “settings” and select the tab “User Administration”. Users must have a login account before they can be given additional permissions. Find out more about permission settings here.
Other Authorized Guardians
If the person checking in children is an authorized guardian for someone else's child, they have the option to check-in those children as well.
Optional Selections
At the bottom of the check in page, there may be optional selections for a guardian to choose. These may vary depending on what type of organization you are.
When complete select “Finish” at the bottom of the page.
KidCheck will automatically print labels (if selected) and reset itself for the next check-in.
